The ATS Resume Format Checklist for 2026 — Every Rule, in Order

Print this. Run your resume against it before every application. Most formatting problems are invisible until an ATS rejects you — this checklist makes them visible before that happens.

ATS formatting errors are the most common — and most fixable — reason qualified candidates never hear back. Unlike weak bullet points (which require real writing work), most formatting problems can be fixed in under an hour once you know what to look for.

This checklist covers every formatting rule that matters. Work through it once on your master resume. The fixes carry across every application.

Section 1 — Document Structure

📐 Layout & Structure
Single column layout only
ATS systems parse documents as a single text stream from top to bottom. Two-column layouts get read as scrambled text — your skills end up in the middle of your job titles. The most professionally designed resume templates fail this rule.
❌ Fail: Any side-by-side column arrangement, even a narrow sidebar for skills or contact info
No tables or text boxes
Content inside Word tables and text boxes is invisible to most ATS parsers. Skills sections built in tables — extremely common in modern templates — parse as completely blank. The ATS sees an empty skills section.
❌ Fail: Skills grid, contact info bar, any table-based layout element
No graphics, icons, or images
Progress bars showing skill levels, icons next to section headers, profile photos, logos — all invisible to ATS parsers and can corrupt the text stream around them.
❌ Fail: Skill rating bars, decorative icons, headshot photos, company logos
Contact information in the document body — not the header
Word document headers are a separate document element that most ATS systems skip entirely during parsing. If your name and email are in the header, the ATS may not be able to create a candidate record for you.
❌ Fail: Name, email, phone in the document's Header element (Insert → Header in Word)
✓ Pass: Contact block at the top of the document body, before any section heading
Save as .docx — not PDF (unless requested)
PDF parsing varies significantly across ATS platforms. Some handle it well; others extract garbled text or miss sections entirely. .docx is the safest default. If the job posting explicitly requests PDF, provide PDF.

Section 2 — Section Headings

🏷️ Headings & Labels
Use standard section names
ATS systems map content to fields using heading recognition. Standard headings are recognized reliably. Creative variations often don't map to any field and the content gets filed as "Other" or ignored.

Include all four required sections
Missing a standard section is a completeness flag that lowers your ATS score. Most systems require: Summary, Experience, Skills, Education.

Consistent heading formatting
Section headings should be visually distinct and consistent — same font size, same weight, same case throughout. Inconsistent headings confuse parsers that identify sections by visual patterns.

Section 3 — Contact Information

📋 Contact Block
Full name on the first line
ATS systems expect the candidate name to be the first text in the document. Names buried below other content may not be correctly identified.
Professional email address
An outdated or unprofessional email address is a human red flag that survives ATS screening. firstname.lastname@gmail.com is the safe default.
❌ Avoid: hotmail.com, aol.com, work email from a previous employer, anything unprofessional
LinkedIn URL (custom if possible)
Many ATS systems extract and verify LinkedIn profiles. A profile that matches your resume reinforces credibility. A missing LinkedIn URL on a senior candidate resume raises questions.
City and state — not full street address
Full street addresses are outdated and unnecessary. City + State (or "Remote") is the current standard. It satisfies geographic filtering without sharing unnecessary personal data.

Section 4 — Experience Section

💼 Experience & Bullets
Consistent date format throughout
ATS parsers extract date ranges to calculate tenure. Inconsistent formats (some MM/YYYY, some Month YYYY, some just YYYY) cause parsing errors in date calculations.

At least 3 bullets per role
ATS completeness scores penalize roles with fewer than 3 bullets. More importantly, a single-bullet role signals to human reviewers that you either didn't do much or haven't thought about how to articulate it.
Every bullet starts with a strong past-tense action verb
Bullets that start with "Responsible for," "Helped," or "Assisted" score lower in ATS bullet quality checks and stop the hiring manager's scan. Strong verbs: Led, Built, Grew, Reduced, Closed, Launched, Delivered, Drove.
❌ Avoid: Responsible for, Assisted with, Helped to, Participated in, Worked on
Metrics in the majority of bullets
Numbers stop the scroll. Any bullet that describes what you did without saying how much, how many, or by what percentage is a missed opportunity. Revenue, %, headcount, time saved, error rate reduced, retention achieved.

Consistent verb tense within each role
Current roles use past tense for completed achievements (not "Manage" but "Managed"). All bullets within a role should be consistent — mixing present and past tense within the same role confuses both ATS parsers and human reviewers.
Awards and honors in a dedicated section — not embedded mid-bullet
Trophy emojis and award lines inserted between bullets (🏆 President's Club) confuse ATS parsers and interrupt the bullet scan flow for humans. Awards belong in a clean "Awards & Honors" section after the experience block, or in an "Achievements" line under each role.

Section 5 — Skills Section

🔧 Skills
Skills in plain text — not a table or graphic
The single most common skills section failure. A table-based skills grid looks clean visually but is often parsed as blank by ATS systems. Plain text, comma-separated or bulleted, is always safe.
No duplicate skills across formats
Many resumes list skills twice — once as a flat comma-separated list and again in a categorized table below. This redundancy adds length without adding information and can flag as low-quality content in ATS quality checks.
❌ Avoid: Flat keyword list followed by a categorized table repeating the same terms
✓ Use: One clean, categorized skills section
Mirror exact phrases from the job description
ATS keyword search is literal. "Account management" won't match a search for "customer success." Use the exact phrases from the job description for skills that genuinely describe your experience.
